This Privacy Policy explains what personal information we collect, how we use and share it, and the choices you have. It applies to hellophello.com and the Phello platform (the "Services"). It works alongside our Terms of Service; where this Policy uses a term defined there (such as "Your Content" or "Services"), it has the same meaning. By using the Services, you agree to this Policy.

Phello is a United States based service intended for members in the United States. If you use the Services from outside the United States, your information is processed in the United States as described in "Where your information is processed" below.

1. Who this applies to

This Policy covers visitors to our website and members who subscribe to the Services. You must be at least 18 years old to use Phello. The Services are not directed to children, and we do not knowingly collect information from anyone under 18.

2. Information we collect

Information you give us.

  • Account and profile. Your name, email addresses, phone number, postal address, company, title, photo, LinkedIn and website links, password, and the other details you add to your member profile.
  • Your personal website. The professional history, accomplishments, biography, and other content you choose to publish on the personal website Phello helps you build.
  • Your contacts. The names, contact details, notes, and relationship information you add to your contacts and CRM. You may only add people you actually know, as your Terms require.
  • Your campaigns. The messages and templates you create and send to your own contacts.
  • Payments. When you subscribe, your payment is handled by our payment processor, Braintree. Phello does not receive or store your full card number. We store only limited details such as the last four digits, card brand, and expiration date.
  • Communications. Messages, survey responses, and records of your calls, texts, and support requests with us.

Information we collect automatically. When you use the Services we collect usage and device information, such as your IP address, browser and operating system, pages viewed, and actions taken, through cookies and similar technologies. See "Cookies and tracking" below.

Campaign activity. When you send campaigns, we collect activity such as sends, opens, clicks, and bounces, so we can show you results and protect email deliverability for all members.

Recordings. If you request a review, take part in a one-on-one session, or join a Circle event or Member Voices, we may record audio and video of that session, as described in your Terms.

3. How we use your information

We use your information to:

  • provide, operate, secure, and improve the Services;
  • build and host your personal website, organize your contacts, and send the campaigns you create;
  • give you advice, coaching, and reviews (a core part of your membership), which means our team and the service providers who power those features have access to your account content for that purpose;
  • process payments, manage your subscription, and send you billing, account, service, and event messages, including texts if you give us your number (you can reply STOP to opt out of texts);
  • respond to your requests and provide support;
  • understand how the Services are used so we can improve them; and
  • comply with law and enforce our agreements.

We do not use your information for advertising to your contacts, and we do not use or sell your contact lists for advertising or marketing.

4. AI features and your data

Phello includes AI-assisted features that help you build and improve your materials, such as your website, your resume and LinkedIn content, your contacts, and your campaigns. You direct these features and decide what to use. To provide them, we send the content needed to generate your result to a third-party AI provider and receive the result back.

That provider does not use your content to train its models, and we do not train any public or shared AI model on your personal information or your contacts. We never let one member's data reach another member. We may also use aggregated and de-identified information about how the Services are used, which does not identify you, to improve Phello and its AI features. Our Terms of Service explain this in more detail.

5. How we share information

We share personal information only as follows:

  • Service providers. We use vendors to run the platform, and they may process your information only on our instructions and under confidentiality obligations. They fall into these categories: hosting and storage, email delivery, scheduling, video meetings, AI processing, and payment processing.
  • Legal and safety. To comply with law, legal process, or a government request, to enforce our Terms, or to protect the rights, property, or safety of Phello, our members, or others.
  • Business transfer. In connection with a merger, acquisition, financing, reorganization, or sale of assets, in which case we will require the recipient to honor this Policy or notify you of any material change.

What we never do. We do not sell your personal information for money. We do not sell your contacts or your contacts' information, we do not use your contacts for our own marketing or send marketing to them, and no other member is ever given access to your contacts. (For how our advertising works, and how to opt out, see "Cookies and tracking" and "Your privacy choices" below.)

6. Cookies and tracking

We use cookies and similar technologies for essential site functions, to remember your preferences, and to understand and improve how the Services are used. On our public marketing pages we also use advertising technologies, including the LinkedIn Insight Tag, to measure and run our advertising. These technologies share limited information, such as the fact that your device visited our site, with advertising partners such as LinkedIn.

Under some state privacy laws this advertising activity may be considered a "sale" or "share" of personal information, even though we receive no money for it. You can opt out using the "Do Not Sell or Share My Personal Information" link on our site, and we honor recognized browser opt-out signals such as Global Privacy Control (GPC). You can also set your browser to refuse some or all cookies, though parts of the Services may not work properly if you do.

7. Your privacy choices and rights

Depending on where you live, you may have some or all of these rights over your personal information:

  • to know and access the information we hold about you;
  • to correct inaccurate information;
  • to delete your information;
  • to receive a portable copy;
  • to opt out of the sale or sharing of your personal information for targeted advertising; and
  • not to be treated differently for exercising these rights.

You can review and update much of your information directly in your account. To opt out of the sale or sharing of your information for advertising, use the "Do Not Sell or Share My Personal Information" link on our site or email support@hellophello.com; we also honor Global Privacy Control (GPC) signals. To make any other request, email support@hellophello.com. We will verify your request and respond as required by law. You may use an authorized agent where the law allows.

California. California residents have the rights above under the CCPA/CPRA. California Civil Code Section 1798.83 ("Shine the Light") also lets California residents request information about disclosures for third-party direct marketing; to make such a request, email support@hellophello.com.

If someone added you as a contact. If a Phello member has added your information to their contacts and you would like it corrected or removed, email support@hellophello.com and we will handle your request.

8. Data retention and deletion

You can export your information, including your contacts, at any time while your membership is active.

When you cancel, and consistent with your Terms, your personal website and profile are archived for 24 months and then permanently deleted, and your contacts and campaign data are deleted after cancellation, so export anything you want to keep first. If we terminate your account for cause, your content is deleted and not archived.

We may retain limited information longer where we need it to comply with law, resolve disputes, enforce our agreements, or keep security and abuse records. Backups that contain deleted information are overwritten on our regular backup cycle.

9. How we protect your information

We use administrative, technical, and physical safeguards designed to protect your information from loss and unauthorized access, use, or disclosure. Payments are handled by Braintree, and we do not store your full card number. Information you send to the Services is encrypted in transit (HTTPS/TLS). Access to member information is limited to people who need it to provide the Services.

No method of transmission or storage is completely secure, and you share information at your own risk. Please keep your password confidential.

10. Your personal website is public

Your Phello personal website is designed to be seen by others. Anything you publish there may be viewed by visitors and, depending on your settings, indexed by search engines. Even after you change a setting or take a page down, cached or previously shared copies may persist beyond our control. You choose your visibility settings and what you publish.

11. Other members, the directory, and community features

Phello is a community, so some of what you do is visible to other members by design:

  • The Phelloship directory and your profile. Your member profile, including details such as your name, title, and photo, is visible to other members in the directory. Your private information, your contacts, your account details, and your uploaded data, is never shown to other members.
  • Circles and community spaces. What you post or say in a Circle, a group meeting, or another community space is visible to the other members there. Treat these as shared, not private.
  • Member Voices and other video or voice you post. If you record or post video or voice content in the community or on your website, the people you share it with can see and hear it, and content you make public can be seen and re-shared by anyone.
  • Recorded sessions and events. Reviews, one-on-one sessions, and Circle events may be recorded so we can deliver them, let members who took part play them back, and improve quality, as described in your Terms. You consent to that recording by taking part, and you can decline a live session or leave a group event if you do not want to be recorded.

12. Where your information is processed

Phello operates in the United States, and your information is stored and processed here. If you use the Services from outside the United States, you understand and consent that your information is transferred to and processed in the United States, which may have different data protection laws than your country.

13. Changes to this Policy

We may update this Policy from time to time. If we make material changes, we will notify you by email or through the Services, and the "Last updated" date above will change. Your continued use of the Services after a change takes effect means you accept the updated Policy.
